How can I collaborate on PubliWrite?

Authors can invite up to 5 collaborators to contribute to a book, allowing everyone to edit the content together in real time. The platform provides full visibility into who is actively making changes, ensuring a seamless and interactive collaborative experience.

1. How to invite a collaborator


To invite collaborators, open your book in the editor and click the 'Share' button located at the top right corner.

Enter the email address of the person you'd like to invite, and select their role (editor, viewer, or author). The permissions for each role are explained in the next section, 'Types of Collaborator Access.'


After you send the invitation, what happens next depends on whether or not the person already has an account on our platform:

New users will receive an email prompting them to join and start collaborating. You’ll see their invitation marked as 'Pending' in the collaboration section.
Existing users will have the book instantly available on their dashboard.

2. Types of editor access


When it comes to working in the editor there are four roles a user can have, each with different levels of access:
Owner
Editor
Author
Viewer

Owner


The owner is the person who originally created the book and holds the highest level of access. This role is exclusive to the creator and cannot be assigned to others. As the owner, you can:
Write and edit content
View, write, resolve, and delete comments
Restore previous versions of the book
Invite collaborators, change their roles, or remove them
Decide how the revenue will be split when the book is published (see '6. Payments on Publication' for more details)

Editor


The editor's role is designed specifically for those who help refine and polish the book to make it publication-ready. Editors can review the manuscript, suggest changes, and provide feedback through comments. They work closely with the author to ensure the content is clear, engaging, and consistent, often focusing on improving the structure, style, and flow of the text. Editors can:

View and edit the manuscript
Changing formatting and book settings
Provide feedback by writing, resolving, or deleting comments
Suggest changes to enhance the quality and readability of the book
Collaborate with the author to finalize content before publication

Author


The author role is meant for co-authors who actively contribute to writing and developing the book. In the publishing industry, co-authors collaborate to shape the content, share the workload of writing, and bring diverse perspectives or expertise to the manuscript. They work together to ensure the narrative is cohesive and aligns with the overall vision for the book.

Authors have similar permissions to editors, allowing them to:

View and edit the manuscript
Changing formatting and book settings
Write, resolve, and delete comments
Make significant content contributions, such as adding new chapters or refining existing sections

This role is ideal for those who share responsibility for the book’s content and actively participate in the writing process.

Viewer


The viewer role is designed for beta readers—individuals who get an early look at the book before it's published. Beta readers provide valuable feedback on the story, character development, and overall readability. While they don't typically suggest detailed edits, their insights can help authors understand how the book will resonate with its intended audience.

Viewers have limited access and can:

View the manuscript
View and add comments (but cannot resolve or delete them)

This role is ideal for friends, family, or selected readers who can offer early feedback to help shape the final version of the book.

3. How to remove a collaborator


Only the book owner can remove collaborators. To manage collaborators, open the book in the editor and click the 'Share' button to view the list of current collaborators. To remove someone, simply click the Delete icon next to their name.

This action is permanent and will completely remove access from the book. If you need to collaborate with the same person again, you’ll have to send them a new invitation.
